1. Who we are
Taktl is an AI-powered email automation service for small service businesses, operated by Darian Straus, based in Zürich, Switzerland. You can contact us at contact@taktlapp.com.
2. What data we collect
Business account data
When you create a Taktl account we store your name, business name, email address, business type, and service area. This is used to personalise your AI email agent.
Inbound email data
Emails sent to your Taktl inbound address are processed and stored so you can view and respond to them in your dashboard. This includes the sender name, sender email, subject, and email body. Emails sent to your Taktl inbound address are routed via Postmark before being stored in your dashboard. Email content passes through Postmark's servers in the United States during delivery.
AI-generated content
We use OpenAI's API to classify inbound emails and generate draft replies. Email content is sent to OpenAI for processing. OpenAI's privacy policy applies to this processing: openai.com/privacy.
Pricing rules and business settings
Any pricing rules, tone settings, signatures, and business context you configure are stored and used exclusively to personalise your AI drafts.
Waitlist / demo requests
If you submit a demo request via our website, we store your name, company, email, phone number, and any message you provide. This is used solely to follow up with you about Taktl.
3. Where data is stored
All data is stored in the European Union:
- Database: Supabase — Zürich, Switzerland
- File storage: Supabase Storage — Zürich, Switzerland
- Application hosting: Vercel — EU edge network
- Email delivery: Postmark (Wildbit LLC, USA) — processes transactional emails (account invitations, password resets, inbound email routing). Postmark's privacy policy: postmarkapp.com/privacy-policy
- AI processing: OpenAI — United States (data sent per request, not stored long-term by OpenAI)
4. How we use your data
- To provide the Taktl email automation service
- To classify inbound customer emails using AI
- To generate draft email replies personalised to your business
- To send transactional emails (account invitations, password resets)
- To notify you of new inbound leads
We do not use your data for advertising, we do not sell your data to third parties.
5. Your customers' data
When your customers email your Taktl inbound address, their email address, name, and message content are stored in your account. You are the data controller for your customers' data. It is your responsibility to ensure you have a lawful basis for processing their data under applicable law (e.g. Swiss DSG / EU GDPR).
6. Data retention
- Lead and email data: retained for the lifetime of your account
- Draft pricing rules: automatically deleted after 7 days if not approved
- Audit logs: retained for 90 days
- Waitlist entries: retained until manually deleted by us
7. Your rights
Under Swiss data protection law (DSG) and where applicable the EU GDPR, you have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your account and all associated data
- Object to processing of your data
- Data portability

8. Account deletion
To delete your account and all associated data (leads, customers, pricing rules, email history), contact us at contact@taktlapp.com. We will permanently delete all your data within 7 days.
9. Cookies
Taktl uses a single session cookie to keep you logged in. No tracking cookies, no analytics cookies, no advertising cookies. We do not use Google Analytics or any third-party tracking.
10. Changes to this policy
We may update this policy as the service evolves. We will notify active users of any significant changes by email. The date at the top of this page always reflects the latest version.
